Motive and Fleetio have expanded their partnership with new features that unify fuel, maintenance, and telematics data, enabling smarter, more automated fleet operations and cost control for fleet managers worldwide.
San Francisco and Birmingham, Ala.—Motive, an AI-powered Integrated Operations Platform, and Fleetio, a notable leader in fleet maintenance and optimization solutions, have stepped up their collaboration with a broader integration. This new setup is aimed at centralizing fuel, maintenance, and telematics data better. The upgraded platform allows for automated, two-way data workflows that tackle some serious operational hurdles—like cutting back on manual, often clunky processes, boosting compliance and safety, extending the lifespan of assets, and giving fleet managers clearer insights into fuel and maintenance spending.
Fuel and service expenses make up nearly 75% of a fleet’s operating budget, so control over costs and keeping vehicles ready to go are critical concerns for fleet pros. The expanded Motive-Fleetio integration introduces two main features, specifically designed to help meet these challenges in a more strategic way.
First up is the Two-Way Driver Vehicle Inspection Report (DVIR) Sync. This feature automates fixing defects by synchronizing DVIR statuses across both platforms in real time. When a defect gets marked as resolved in Fleetio, the corresponding DVIR in Motive is automatically closed. Honestly, this small change—well, at least to me—can really cut down on compliance risks and helps speed things up, preventing unsafe vehicles from hitting the road and keeping both vehicles and drivers running smoothly for longer.
The second big addition is the Motive Card Fuel Sync. It links fuel transaction data straight from Motive Cards into Fleetio, giving fleets a single, reliable source of truth for tracking fuel costs, budgeting, and IFTA reporting. By weaving fuel expenses with driver behavior data and asset health info, fleet managers get a much clearer picture of one of their biggest cost drivers—fuel. It’s pretty interesting, right? This turns what used to be a bit of a blind spot into a competitive edge driven by solid data.
Stefano Daneri, who’s the Fleet Ecosystem Strategist at Fleetio, pointed out how valuable this integrated approach is: “Bringing fuel, telematics, and maintenance data together—this isn’t just about reacting to problems anymore. It’s about getting ahead of them. Making data work for you, boosting uptime, and ultimately improving long-term performance.”
Hemant Banavar, the Chief Product Officer at Motive, also emphasized how important this expanded integration is for the company's mission: “Our goal is to empower physical operations through AI tools that make things safer and more productive. Blending our AI insights with Fleetio’s maintenance skills creates a smooth connection between two systems that are mission-critical for fleet success, and that helps fleets run at peak levels.”
This partnership isn’t new; it actually dates back to 2018, and since then, Motive and Fleetio have kept unifying maintenance and telematics data. Today, their combined dataset is among the biggest in the industry, covering over a million assets managed by Fleetio and a vast telemetry network from Motive. They offer advanced tools like benchmarking, predictive analytics, and AI automation that help fleets cut costs, stay compliant, and optimize safety and efficiency.
The integration automates vital fleet functions too—things like syncing vehicle odometers, diagnostic faults, and DVIR exceptions—which help trigger precise maintenance planning and streamline work assignments. These features provide comprehensive cost and health reports from one platform, whether maintenance is done in-house or via third parties. Plus, it delivers real-time vehicle location data and fuel exception alerts right into Fleetio’s asset profiles, giving fleet operators better operational transparency and helping reduce risks.
Given how complex fleet operations are becoming alongside stricter regulatory standards, this upgraded Motive-Fleetio integration represents an important step forward. It offers fleet managers a smart, automated toolkit that enables better decision-making, ensures compliance, and promotes longer asset lifespan—an especially valuable advantage in a market that's more conscious about costs than ever before.
